A wholesaler in Poland once asked us to make a full sofa sample, ship it by air, and “deduct the cost from the bulk order.” The bulk order was for 12 pieces — about $4,800. The sample and freight came to $780. Deducting it would have cut our margin on the whole order to zero, so we declined and lost the deal. Six months later the same buyer returned, ordered 200 pieces from us, and paid for his samples without a word. The lesson was not about being generous or greedy — it was that nobody had explained to him how sample costs actually work in China, so his expectations were based on a story someone else told him.

Sample costs are the most misunderstood line in furniture sourcing. This guide explains what samples really cost from a Foshan factory, who normally pays, and the recovery models you can negotiate — so you can test furniture before committing without burning your budget or insulting a supplier who is acting in good faith.

Краткий ответ: In China, fabric swatches cost $0–$30, foam and material samples $0–$50, component samples (cushion, armrest) $50–$200, and a full sofa sample $200–$800, plus air freight of $100–$500. The buyer pays for full furniture samples in most cases; the factory pays for swatches and small material cards. The standard recovery model is a deduction: the sample fee (and often half the freight) is credited against your first bulk order once the order value clears the MOQ threshold. If a supplier promises “free samples” for sofas, ask who pays the freight — free usually means ex-works, with shipping on you.

Sample Costs in China: Who Pays and How to Recover 3

What a Sample Actually Costs the Factory

The price you are quoted for a sample is not a markup — it is a share of real production cost. A full sofa sample consumes: 1–2 days of cutting and sewing time on a line that would otherwise be producing paid orders, one set of fabric (often a full roll cut for a 3-seater), foam cut from stock, frame materials, hardware, packing, and a QC check. At Foshan labor and material rates, the direct cost of a standard 3-seater fabric sofa sample is typically $150–$350 before freight. Leather, velvet and custom dimensions push that toward $400–$700. Add the factory’s risk that you will take the sample to a cheaper competitor, and you can see why “free sample” is rare for large pieces.

Small samples are a different story. Fabric swatch cards cost a factory almost nothing — the mill gives them the swatches — so most factories send them free, with you paying courier cost if you want them fast. Our Процесс создания образцов для мебели на заказ. explains the full swatch-to-sample workflow and where each cost appears.

Sample Cost Ranges: What to Expect in 2026

Sample type Typical fee Срок поставки Usually paid by
Fabric swatch card $0 – $30 3 – 7 days Factory (freight on buyer for courier)
Foam / material block set $0 – $50 3 – 7 days Factory or split
Component sample (cushion, armrest, leg set) $50 - $200 7 – 12 days Buyer (deductible)
Full sofa sample (fabric) $200 – $500 10 – 20 days Buyer (deductible)
Full sofa sample (leather, custom) $400 – $800 15 – 25 days Buyer (deductible)
Air freight (sample) $100 - $500 3 – 7 days Buyer (often 50% recovered)

Freight is where sample budgets actually explode. A sofa is bulky and light, so air freight is charged by volumetric weight — a 3-seater sofa boxed at roughly 1.2 CBM can be billed at 200–300 kg of chargeable weight. From Guangzhou to Warsaw, Dubai or New York, that is $150–$500 depending on the lane and season. The general practice for getting free or low-cost material samples from China suppliers is well documented in sourcing guides like this overview of free sample policies — and the consistent pattern is: small, cheap items ship free; large, custom items are paid for by the buyer with recovery terms.

Who Pays: The Five Standard Models

  1. Buyer pays all (sample + freight). The default for full furniture samples. The factory quotes the sample fee and the real courier cost, the buyer pays upfront, and the sample is theirs to keep.
  2. Buyer pays, fee deducted from the first bulk order. The most common recovery model. The sample fee is credited in full once the bulk order is placed and paid. Freight is usually not included in the deduction — or is split 50/50.
  3. Split cost. Factory covers the sample production cost, buyer covers freight. Often offered to serious buyers with clear specifications and a confirmed order pipeline. This is the model we use for repeat clients.
  4. Factory pays (free sample). Realistic only for swatches, foam blocks, brochures and small material cards. For sofas, “free sample” almost always means the factory waives the production fee but you still pay freight — ask before you assume.
  5. Sample fee waived on order, freight on buyer. A stronger version of model 2: place the order first (with a deposit), and the factory builds your sample inside the production run, charging only freight. Works best when you trust the factory’s spec compliance.

How to Recover Sample Costs: Negotiation That Works

Recovery is a negotiation about risk, not a favor. The factory’s position: samples are expensive and get shopped around. Your position: you should not pay twice for the same design. The middle ground is a written recovery clause. Here is the language that works, in order of strength:

  • Best for you: “Sample fee of $450 will be fully deducted from the first bulk order exceeding $5,000 FOB.”
  • Common: “Sample fee deducted upon first order; air freight shared 50/50.”
  • Weak but acceptable: “Sample fee credited at 50% against the first order.”
  • Avoid: “Free samples, no conditions” — because the cost will come back in the unit price, and you lose the comparison basis that samples exist for.

Two practical points. First, request multiple options in one sample round: two fabrics, two foam densities, one leg style. The factory’s setup cost is the same, and you compare materials against each other instead of against your memory. Second, ask for photos and video before any sample is sewn — a good factory can show you the frame, the foam and the fabric on a similar build, which often saves the full sample entirely. Our sample approval guide covers the sign-off workflow, and the hotel sample approval process shows how project buyers structure multi-round sampling without multiplying cost.

The Hidden Costs Nobody Quotes

  • Sample revision rounds. Every change after the first sample — fabric swap, dimension change, cushion tweak — is a new sample or a modification fee. Getting the spec right before the first cut is the cheapest step in the whole process.
  • Custom fabric MOQ. If your fabric is custom-woven, the mill’s minimum order (often 300–500 m) may exceed what the factory wants to hold. Our MOQ and FOB pricing guide shows how fabric MOQ flows into the unit price.
  • Sample shipping insurance and customs. Air freight quotes rarely include insurance, and some destination countries charge duties on commercial samples. Ask for the door-to-door total, not the airport-to-airport rate.
  • The “free” sample that is not. Some traders advertise free samples and recover the cost in the bulk price — you pay either way. Compare the sample policy and the unit price together, not separately.
  • Time. A full sofa sample takes 10–25 days. If your project timeline cannot absorb a revision round, you pay rush charges or you skip verification and pay later in the field.

For small items — swatches, foam blocks, brochures — free samples are real. For sofas, “free sample” usually means the factory waives the production fee but the buyer pays freight, or the cost is recovered in the bulk unit price. Always ask who pays the freight and compare the unit price too.

Как я могу сократить расходы на образцы мебели?

Combine multiple fabric and foam options in one sample round, review CAD drawings and photos before sewing, and ask for a component sample (cushion or armrest) instead of a full sofa when the frame is standard. A clear spec sheet prevents expensive revision rounds.

Bottom line: Samples are an investment in verification, and the person who pays is the person who benefits most — usually you, the buyer. The professional approach is not to demand free samples but to negotiate a written recovery clause: sample fee deducted from the first order, freight shared. That is the model we run at Neveitalia, and it is why our long-term clients order samples without friction. If you want to test our sofas, send your spec — we will quote the sample honestly, including the freight, and put the deduction terms on paper before you pay a cent.

When the new supplier’s samples arrive, our sofa supplier switch guide keeps the spec handover intact.
